School Administrative Secretary
Position Summary
The Montessori School of Waukesha is seeking a highly organized, detail-oriented School Secretary to support the daily operations of our thriving independent Montessori school. This position serves as a key member of the administrative team and plays an essential role in business office operations, student records management, purchasing, vendor coordination, and family support.
The position is available because our current School Secretary is moving to another role on our administrative team.
The ideal candidate is professional, customer-service oriented, comfortable managing multiple priorities, and committed to supporting a positive school community.
Key Responsibilities
Business Office Support
- Manage billing, invoicing, accounts receivable, and payment processing.
- Assist with accounts payable, deposits, and financial recordkeeping.
- Maintain accurate files and administrative records.
- Support enrollment-related administrative processes.
Student Records & Enrollment
- Maintain accurate student records and enrollment information.
- Assist with student enrollment, transfers, and withdrawals.
- Ensure confidentiality and security of student and family information.
- Generate reports and maintain data within the school's student information systems.
Family & Community Support
- Respond professionally to family inquiries.
- Assist families in navigating school systems and procedures.
- Support schoolwide communications and administrative processes.
- Foster positive relationships with families and community partners.
Purchasing & Vendor Coordination
- Coordinate purchasing activities and maintain purchasing records.
- Obtain quotes, compare pricing, and work with vendors.
- Manage vendor relationships, contracts, and service schedules.
- Coordinate deliveries and resolve purchasing issues when needed.
Administrative & Operational Support
- Provide administrative support to school leadership.
- Maintain organized electronic and paper filing systems.
- Support office operations, inventory management, and supply ordering.
- Assist with school events and special projects as needed.

Minimum Qualifications
Preferred
- Previous experience in school administration, office management, customer service, bookkeeping, or administrative support is key for our selection decision.
- Associate's or Bachelor's degree in Business Administration, Office Administration, Education, Communications, or a related field helpful but not required.
Skills & Abilities
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
- Proficiency with Google Workspace, Microsoft Office, and database systems.
- Experience with QuickBooks or similar accounting software preferred.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong customer service skills and attention to detail.
What We Offer:
Starting Salary: $42,000 annually with additional compensation based on experience, skills, and qualifications.
Includes 10 days of paid time off during the academic year and additional PTO days during the summer. The school calendar offers generous scheduled breaks throughout the year.
